Create policies for multiple assets

The Metadata Policy Helper app creates and updates metadata policies on personas using advanced asset-selection patterns that aren't available through the Atlan UI: for example, every dashboard in a Looker folder, every project in Tableau, every folder in QuickSight or Cognos, or every asset across a set of connections. Use it when a UI policy can't express the scope you need, or when you want to create the same pattern in many personas at once.

Prerequisites

Before you begin, make sure you have:

  • Access to the Metadata Policy Helper app. You can verify this by searching for Metadata Policy Helper in the Atlan marketplace. If you don't have access, contact Atlan Support or your Atlan customer team to request it.
  • Connection admin rights on every connection the policy references. Without this, the workflow can't apply the policy.
  • An existing persona in Atlan that the policy is added to. To create one, see Create a persona.
  • The names or IDs of the BI folders or projects (for Looker, Tableau, QuickSight, or Cognos patterns), or a list of connections (for the Connections pattern).

Configure workflow

  1. In your Atlan workspace, click Connectors in the left sidebar.

    If you are using the Old UI (Classic), click New Workflow in the top navigation.

  2. Search for Metadata Policy Helper and click Set up workflow on the tile.

  3. Enter a Workflow name that identifies this run in the workflows list.

  4. Select the policy pattern that matches your use case. This guide uses the Looker Folder pattern as the example; for Tableau Project, QuickSight Folder, Cognos Folder, and Connections, see the Metadata Policy Helper reference.

  5. In Persona name, enter the name of the persona the policy is added to. If a policy with the configured Policy name already exists in the persona, the app updates it.

  6. In Policy name, enter a name for the policy.

  7. In Looker connection, select the Looker connection from the dropdown.

  8. In Looker folder identifier, choose Name (default) or ID depending on how you want to specify folders.

  9. In Looker folders, list the folders to include. Separate multiple folders with @@@.

  10. Under Policy permissions, select the permissions to grant or deny.

  11. Under Policy type, choose Allow or Deny.

Run and validate

  1. Review your configuration, then click Run.

  2. Track progress in the Workflows section. The run completes when the status shows Success.

  3. In Atlan, go to Settings → Persona (or Admin → Persona on the old UI), open the persona you specified, and switch to the Policies tab. Confirm the policy appears with the name you configured.

  4. Click the policy to verify the asset scope and permissions match your inputs.

Need help?

If the workflow fails or the policy doesn't appear in the persona, double-check that you have connection admin rights on every connection the policy references: the workflow can't apply policies without it. Contact Atlan Support if the issue persists.
