## How does Atlan keep scheduled workflows up to date and healthy?

> Why Atlan flags workflows that keep failing, when it pauses a schedule automatically, and how to restore a paused workflow.

Atlan watches every scheduled workflow for runs that keep failing on errors you can fix. It flags the workflow for your admins, and if the failures continue, it pauses the schedule. Tenant admins and workflow admins act on flagged workflows from the [Workflow center](https://docs.atlan.com/llms/catalog/connector-capabilities/workflow-center/llms.txt).

## What happens and why

A scheduled workflow can fail for weeks without anyone noticing: your catalog keeps serving metadata from the last successful run, so assets look current while they drift further from source. Flagging the workflow, and eventually stopping a schedule that keeps failing, puts that drift in front of the people who can correct it.

## Which failures count

Atlan evaluates each scheduled workflow once per day, and counts only the failures you can fix. These fall into four groups, most common first:

- **Credential errors**: passwords, tokens, or key pairs that expired or were rotated at source.
- **Connection errors**: source unreachable because of hostname, network, or allowlist changes.
- **Preflight errors**: missing permissions or missing objects at source. For more information, see [What are preflight checks?](https://docs.atlan.com/llms/catalog/connector-capabilities/what-are-preflight-checks/llms.txt).
- **Other configuration errors**: a smaller group of remaining fixable misconfigurations.

Credential errors are the most common cause, but the other three count the same way. Failures on Atlan's side never count: outages and transient infrastructure errors don't move a workflow toward an automated pause.

## Two states

Each state has a run threshold and a day threshold, and whichever is met first applies. A workflow that runs often reaches the run threshold first, and an infrequent workflow reaches the day threshold first.

| State | Threshold | What happens |
|---|---|---|
| **Needs attention** | 5 failed runs or 30 days of failing | The workflow appears under **Workflows need attention** in the Monitor view, and Atlan notifies your admins. The schedule keeps running, so there's time to fix the error. |
| **Auto-paused** | 15 failed runs or 60 days of failing | Atlan pauses the schedule and lists the workflow under **Workflows auto-paused by system**. This is reversible. |

On a daily schedule, that works out to roughly 5 days before a workflow needs attention, and roughly 15 days from its first failure before Atlan pauses it.

## What pausing does, and how to undo it

A pause stops the schedule and nothing else. The workflow, its configuration, its connection, and every asset it cataloged stay in place, nothing is deleted, and you can still run the workflow manually at any time. Catalog metadata for the connection stays as the last successful run left it, so it grows stale but stays intact.

To recover, fix the error at source and run the workflow manually. A successful run restores the schedule, clears the workflow from both states, and re-syncs metadata from source, so there's nothing to backfill by hand. Each flagged workflow names its error type and a suggested action, so admins know what to resolve: rotate the credential, restore network access, or grant the missing permission. A tenant admin or workflow admin can also select **Resume** on the workflow profile.

## Who sees what

Tenant admins and workflow admins see flagged workflows in the Monitor view of the Workflow center and a summary banner in the Admin center. They're expected to act.

Business users see a notice on asset pages when a connection has had no successful run for about 33 days, telling them the metadata may not match the source. They're not expected to act on it.

## How notifications reach you

Atlan raises one in-app notification when a workflow is first flagged as needing attention, then updates that same notification as the situation changes, including when it pauses the schedule. On Slack and Microsoft Teams, each later event adds a reply to the original message. Notifications reach the admins of the connection the workflow belongs to. When a connection names no admins, they go to your tenant admins, including workflow admins. In-app is the baseline and needs no setup; Slack and Microsoft Teams are opt-in additions.

| Channel | What it needs |
|---|---|
| In-app | Nothing to set up. See [Manage workflow notifications](https://docs.atlan.com/llms/catalog/connector-capabilities/manage-workflow-notifications/llms.txt). |
| Slack | The Slack integration, with a channel set as the _Workflows alert channel_. |
| Microsoft Teams | The Microsoft Teams integration, with a channel set as the _Workflows alert channel_. |

Each integration takes a single workflow alert channel, set by an Atlan admin under **Integrations** in Atlan's admin settings. In Slack the channel must be public; in Microsoft Teams it must be a standard channel, because private and shared channels aren't supported. For the full setup, see [Integrate Slack](https://docs.atlan.com/llms/governance/integrations/integrate-slack/llms.txt) and [Integrate Microsoft Teams](https://docs.atlan.com/llms/governance/integrations/integrate-microsoft-teams/llms.txt). Until that channel is set, that integration delivers nothing and in-app remains the only channel.

Alerts on every individual run, whether it completes or fails, are a separate capability. For those, see [Send alerts for workflow events](https://docs.atlan.com/llms/governance/integrations/setup-workflow-alerting/llms.txt).
